Creating Your First Bot
Creating a bot with NubionAI is incredibly simple. Follow these steps to have your bot ready in under 1 minute.
Access the Dashboard
Log into your NubionAI account (https://www.app.nubionai.com) and click on the 'Create Bot' button in the top left corner of your dashboard.
Create a New Bot
Check out our detailed documentation to learn how to format your data and create the perfect bot for your needs.
Configure Basic Settings
Give your bot a name and select 'Change Model' to choose the model it will use to interact with your customers.
Create Bot
Once configured, click on 'Create Bot' and a card with your bot will appear. You can now start customizing it!

Your dashboard is the command center for all your bots. Here's what you'll find:
Bot Configuration
Customize your chatbot’s behavior, appearance, and features to match your brand identity and business goals.
General Settings
Configure the essential aspects of your bot, including its name, description, language, and a custom prompt.
Essential Configuration Options
- Bot Name: Give the Bot a name that will only be displayed in the settings panel
- Bot Description: Give the Bot a description that will only be displayed in the settings panel
- Bot Language: Select the primary language for your bot's responses.
- System Prompt: Customize the behavior of your bot by providing specific instructions in the system prompt (e.g.: You are a waiter who manages table reservations).
Appearance
Configure your Bot's appearance, such as the display name, avatar, or color.
Appearance Settings Options
- Bot name on the widget: The name of the bot that will be displayed in the chatbot that has been added to a website.
- Subheading: Description that will be displayed in the chatbot that has been added to a website.
- Nubion branding on the widget: Company logo that will be displayed in the bottom bar of the chatbot.
- Bot Avatar: Image of the chatbot that will be displayed when it is open.
- Accent Color: Chatbot color.
- Widget Icon: Icon that will be displayed when the chatbot is closed.
- Widget Position: Position on the screen where the chatbot that has been added to a website will be displayed.
- Input Placeholder: Message that appears in the bar for entering the text that is sent to the chatbot.
- Nubion branding on the widget: Allows you to show/hide the company logo in the bottom bar of the chatbot.
- Widget is open by default: It allows you to show whether the chat is open or closed when accessing the website where the chatbot has been added.
- Widget font: It allows you to modify the chatbot's typography.

WhatsApp Integration
Reach billions of users on WhatsApp. Our integration allows your bot to handle customer conversations seamlessly on the world's most popular messaging platform.
Create an application
- Log in to https://developers.facebook.com/ with an existing Facebook account or create one.
- Select 'My apps'

- Select 'Create application'

- Give the app a name.
- In 'Use cases' select 'Connect with customers through WhatsApp'.

- In 'Business', select the company you want to connect the app to, or create one in 'Create a business portfolio'.
- 'Requirements' we'll leave as is.
- In 'Overview', check that the information is correct and click on 'Go to dashboard' (It will ask for your Facebook password to confirm your identity).
Configure the API
- Once in the application dashboard (accessible from My Apps), select 'Use Cases' from the side menu.

- You'll see the use case we've previously selected; click 'Customize'.

- If this is your first time logging in, you'll see an initial setup to get a WhatsApp test number. Click Continue; otherwise, skip to step 3 (Create a user) directly.
If you get an 'Onboarding Failure' error, something is wrong. One possible solution is to enable two-factor authentication for everything (Facebook account, Meta Developers, and Business Portfolio (https://business.facebook.com/)) and wait at least 48 hours since the last time this error occurred. After these 48 hours, you may be asked to confirm your identity to log in. If so, try step 2.1 again. If the problem persists, contact Meta support.
- Go to the side menu and select 'API Testing' to test that WhatsApp messages are being delivered correctly.

- In step 1 of the displayed form, click on 'Generate access token', log in to Facebook. Grant permission to all current and future WhatsApp accounts (this can be changed in the future) and save.
- In step 3, add the phone number where you want the test WhatsApp messages to be sent.
- In step 4, turn on webhook listener.
- Go to step 6, click on 'Send message' and check that it arrives at the phone number you specified in test step 6.
Create a user
- Go to https://business.facebook.com/ and log in with the same Facebook account.
- In the side menu, select settings.

- Select 'Business Information'.

- In the 'Business Information' section, click edit and add all the necessary information.

- Now select 'Accounts' → 'WhatsApp Accounts'.

- Click the 'Add' blue button and if you already have a WhatsApp Business account, link it; otherwise, create one.
- Once created, add the phone number you will use to receive messages from the bot (it must be one that is not currently being used for WhatsApp).

- Update and click on the added phone number and verify it.
For the indicated phone to work, it must be in 'Connected' status. If it is not connected after a while, contact Meta support.
- Go to 'Users' → 'System Users' and add a user (if you don't have one created, give them the admin role; if you already have an admin, give them the employee role).

Associate the user with the app
- Go to 'Accounts' → 'Apps'.

- Select the app created earlier and assign the user created.

- Give full control to the assigned user.

Associate the user with the WhatsApp number
- Go to 'Accounts' → 'WhatsApp Accounts'.

- Select the account created earlier and assign the user created. We give the user full control again.

Associate the user with the Nubion bot.
- Go to the dashboard of the Nubion bot you want to configure (https://www.app.nubionai.com/) and select 'Integrations' in the side menu.
- On the WhatsApp card, click 'Install' and then 'Install' again.

- On the WhatsApp card, click 'Setup Now'
- Go to https://business.facebook.com/ 'Users' → 'System Users'.

- Select 'Generate token' and configure it by selecting the created app, the option to never have it expire, and the permissions 'whatsapp_business_management' and 'whatsapp_business_messaging'.

- Copy the token and paste it into the indicated field in Nubion.

- At https://developers.facebook.com/ go to 'My apps' and select the app. Then go to 'Use cases' → 'Configuration'

- In Nubion, click 'Configure' again on the WhatsApp card and copy the 'webhook for the platform' to paste it into the 'Subscribe to webhooks' section under 'Callback URL'. Do the same for 'verification token'.

- Click on 'Verify and save'.
- Refresh and return to the 'Subscribe webhooks' section to enable the 'message' field.
If you don't receive a response from the bot within a few minutes after sending a message to the indicated WhatsApp number, delete the open chat and try again.
Telegram Integration
Deploy your bot on Telegram with just a few clicks. Perfect for communities and groups.
Link via BotFather
- Open Telegram and search for 'BotFather' in the search bar and click on the name to open a conversation.
- A conversation will open, so click the 'Start' button.
- In the conversation, type '/newbot'.
- Enter a name for the bot and send it.
- Enter a username for the bot (it must always end with the word 'bot') and submit.
- Copy the token provided by BotFather.



Integrate with the bot
- On the Nubion website, access your bot's dashboard and select Integrations.
- On the Telegram card, click Install, then click Install again.
- Select 'Setup Now' on the same card and paste the token you copied earlier.
Calendly Integration
Allow your bot to manage appointments and availability in real time, making it easy for your customers to schedule meetings quickly and seamlessly, directly from the conversation.
Create events in Calendly
- Register at https://calendly.com.
- Once inside, click on 'Create' and select the type of event you want to configure, add the information, create it, and save the changes.

Integrate with the bot
- Access the bot's dashboard on the Nubion website and select Integrations.
- On the Calendly card, click Install, then click Install again.
- On the Calendly card again, click 'Configure,' then click 'Connect.'
- Log in or select an existing session on Calendly and return to the Nubion Integrations dashboard.
- Refresh the page and click 'Configure' again on the Calendly card.
- Select the type of event (if you have more than one) to which you want to associate the bot chat when appointments are requested, and save.

Messenger Integration
Allow your bot to assist customers directly on Messenger, responding to messages in real time and centralizing communication from one of the world’s most widely used social platforms.
Create an app
- Go to https://developers.facebook.com/ and log in. Go to My Apps.

- Click on 'Create App'.

- Give the app a name.
- In 'Use Cases' select 'Interact with customers in Messenger from Meta.'

- In 'Company' select the company you want to connect the app to, or create one in 'Create a business portfolio'.
- Leave 'Requirements' as is.
- In 'General Information', review the information to ensure it is correct and click 'Go to Dashboard' (You will be asked for your Facebook password to confirm your identity).
Configure the API
- Once in the application dashboard (accessible from My Applications), select 'Use Cases' in the sidebar menu.

- You will see the use case we previously selected; click 'Customize'.

- Go to 'Messenger API Settings' and in step '2. Generate Access Identifiers', click 'Connect'.

- Select the corresponding settings and when finished, click 'Generate' and copy the token.

Integrate with the bot
- Go to the bot's Integrations panel on the Nubion website and on the Messenger card, click Install. Once inside, click Install again.
- On the same card, click 'Configure' and paste the copied token. Save.
- Copy the 'platform webhook' from Nubion and paste it into the '1. Configure webhooks' section, in the 'Callback URL' field of the developers.facebook.com website.

- Do the same with the 'Meta token' but in the 'Verification token' field of developer.facebook.com.

- Click 'Verify and save' and refresh the page.
Granting Permissions
- Open section '2. Generate access tokens' and click on 'Add subscriptions'.

- Select 'messages' and save.
- Go down to step '3. Complete the app review process', click on 'Request permission' and then 'Request permission' again.
- This will redirect you to a page to submit the app for review. You don't need to complete this step since the bot will already be up and running.
Connect

Setup steps:
- In the bot dashboard, click 'Connect' in the side menu.
- Under 'Embed on your website', choose one of the following options:
- JavaScript: allows you to add a small widget in the corner of your website. Ideal for use anywhere on the page.
- iFrame: allows you to add a dedicated area that fully contains the widget. Ideal for a popup or a section used exclusively for the chatbot.
- Click 'Manage allowed hosts' and, under 'Enter URL', add the link of the page where you want to embed the chatbot, then click 'Add host'.
- Copy the provided code (script or iframe) and paste it where you want the chatbot to appear (e.g., inside the <body> of your website).
Train your Bot
The more you train your bot, the smarter it becomes. Learn how to add knowledge and improve its accuracy over time.
Training with Files
Upload documents, FAQs, and training data to teach your bot about your business, products, and services.

Best Practices
- Use clear and concise language.
- Organize the document by topics.
- Keep the documentation regularly updated.
- Test after adding new content.
Setup steps:
- In the Nubion bot dashboard, select 'Training' and then 'Sources'.
- Once inside, select the 'Files' tab.
- Click (or drag and drop) where it says 'Click to upload or drag and drop a file' and select the file you want to use to train the bot.
- After adding the file, you will see a message indicating how many words are required to train the bot and how many words you have available based on your plan and usage. If you have enough, you will be able to click 'Upload and train'. Once clicked, the bot training will begin (this may take a few minutes depending on the file size).
- When the file status changes to 'Trained', it means the bot has successfully learned from the file.
Important Notes
- You can make the bot ignore a document by disabling the 'Visibility' option.
- You can permanently delete a trained document by clicking the trash icon.
- If you delete a document after training it using the 'Upload and train' button, the used words are NOT RECOVERED; the bot will simply no longer have knowledge of the document’s content.
Training with Links
Allow your bot to automatically learn from links, full pages, or the public content of your website, so it can respond with up-to-date information about your business, products, and services.
Crawl a Website
Automatically goes through the website by following links to find all existing pages within the site.Submit an XML Sitemap
Uses an existing, structured list of all the content provided by the sitemap.Setup steps:
- In the Nubion bot dashboard, select 'Training' and then 'Sources'.
- Once inside, select the 'Links' tab.
- Enter the selected URL under 'Crawl a Website' or 'Submit an XML Sitemap' (see the difference above) and click 'Continue' or 'Upload' (this may take a few minutes depending on the size of the website).
- All discovered links will be loaded, along with a message indicating how many words are required to train the bot and how many you have available based on your plan and usage. You can then decide which links to use for training and which ones to exclude (remove them by clicking the red trash icon).
- After removing the links you don’t want to train, check if you have enough available words. If so, click 'Upload and train' and the bot training will begin (this may take a few minutes depending on the size of the website).
- When the link status changes to 'Trained', it means the bot has successfully learned from the content.
Important Notes

Test the Bot
Use our built-in testing tool to simulate conversations and make sure your bot responds correctly before publishing it.
Steps:
- In the Nubion bot dashboard, select 'Test Bot' from the top menu.
- A side menu will open. Click on the widget icon you previously selected.
- Start a conversation with the bot and check whether it has knowledge of the documentation you provided, or test integrations such as Calendly by simulating an appointment booking.
Conversation History
Access all conversations users have had with a specific bot, review messages, analyze interactions, and improve response quality and customer support.
Steps:
- In the Nubion bot dashboard, select 'Inbox' from the side menu.
- Once inside the Inbox, select the 'Chats' tab to view all conversations users have had with the bot.
- To view the full conversation, click on a conversation to see all its messages.
Change Plan
Change your plan at any time to unlock more features, increase limits, and adapt Nubion to your business needs.
Access the Main Dashboard
Click on the robot icon in the side menu to access the main dashboard.
Go to the Plans Section
Click on 'Manage plan' or 'Upgrade' to access the plans section.

Select a Plan
Select the plan you want to switch to by clicking the 'Select this plan' button.
Important notice
Please note that different conditions apply depending on whether you are upgrading or downgrading your plan.
Downgrade to a lower plan
Changes will be applied in the next billing cycle:- The subscription fee will be charged according to the new plan.
- Monthly and daily word limits will be adjusted to match the new plan.
- The oldest bots will be removed to comply with the limits of the new plan.
- The oldest integrations will be removed to comply with the limits of the new plan.
Upgrade to a higher plan
Changes will be applied immediately after upgrading:- A prorated monthly payment will be charged based on the new plan compared to the current plan.
- Your current monthly word allowance will be increased by the remaining portion of the new plan for the current month.
- Daily word limits will be fully updated to those of the new plan.

View your current plan, manage your subscription, and review the available limits and resources across each section.

Current Plan
Displays the name of the plan you are currently subscribed to.Change Plan
